Configuring the CellarPass Guest Link App for iOS & Android (Public)

The CellarPass Guest Link app is available to organizers and businesses that utilize the CellarPass Guest Management platform to manage their Reservations and Ticketed events. It is available for BOTH Apple iOS and Google Android operating systems.

The CellarPass Guest Link app is available to organizers and businesses that utilize the CellarPass Guest Management platform to manage their Reservations and Ticketed events. It is available for BOTH Apple iOS and Google Android operating systems.

Recommended Hardware:

GETTING STARTED

To utilize the CellarPass Box Office Management app, you will need to be a current CellarPass Ticketing platform subscriber. You can sign-up here.


STEP #1 Establishing & Reviewing Credentials

 

  1. Download the CellarPass Box Office app that works with your devices operating system; iOS or Android.
  2. Using your laptop or desktop, log into CellarPass backoffice by going to http://www.cellarpass.com/manage
  3. Go to Settings, Member Configuration (admin-level access required)
  4. Locate the Attendee App section.
  5. There are three fields of information that you'll need to establish here:
  6. MemberID which is located just below the "Save' button in the upper, right-hand corner.
  7. Attendee App Username; enter one if this is blank.
  8. Attendee App Password; enter one if this is blank.
  9. We recommend using a set of credentials that is not easily guessed. Passwords should be a mix of alpha (upper and lower) and numeric values for best security.
  10. If you have entered or updated the two Attendee App-related fields, you MUST click the "Save" button to commit those changes.

 


STEP #2 Entering Credentials in CellarPass Box Office App

 

  1. Once you have downloaded and successfully installed the app, launch the app by clicking it.
    1. Note, if you have never logged into this device, you will need to enter the MemberID, Attendee App Username and Attendee App Password as outlined in previous section.
  2. Once entered, click the "Login" button.
  3. If you receive an authentication error, we recommend that you review your credentials in the CellarPass backoffice.

STEP #3 Checking-in Guests- TICKETED EVENTS
  1. Now that you have the app loaded and your credentials are good, you can start viewing upcoming Ticketed Events, view Guest Lists and so forth.
  2. When first logging in, you'll be presented with a few options based on your account type; Ticketed Events, Passport Programs and Sell Tickets.
  3. The Sell Tickets button is currently limited to iOS devices at this time.
  4. Select "Ticketed Events"
  5. This will show you a list of CURRENT EVENTS and UPCOMING EVENTS.
  6. Current Events are deemed as today's date falls between an Event's [[EventStartDate]] and [[EventEndDate]].
  7. Upcoming Events is deemed as an Event that has an EventStartDate that is in the future.
  8. Select from the Current Events, the Event in which you would like to check-in Guests.
  9. If your Event takes place at multiple venues, you'll be provided with a list of the Venue Check-in Locations. Select the one that determines where the device will physically be during the check-in process.
  10. Note that selecting the wrong Location could lead bad Check-in data and/or potentially communicating to the App user that the Ticket or Passport is not valid for the Event.
  11. Now that you have your Event selected, there's two options to choose from to scan Tickets.
    1. Rapid Scan should be used if you plan on checking many guests that are cued-up in a line. This will leave the camera on "scan" mode indefinitely. Each Ticket scanned will provide a success or error message (audible sound is optional), stating whether the Ticket is valid or not.
    2. Single Scan mode should be used when you just have to scan a single guest in. Once the Ticket has been recognized, the system will provide a success (or error) message, then return back to the Event's dashboard.
  12. Once you have selected which scanning mode to use (Rapid or Single), aim your device's camera at the barcode on the printed Ticket, Fast Pass (in guest's mobile device) or custom printed credentials.
  13. When the camera detects the Ticket's barcode, it will send the information to our servers and confirm whether the Ticket is valid or not. It will provide a clear success message when the Ticket is valid (and optional audible signal) and a distinct error message (and sound) if there's an error. The error message will provide more information about the issue.
  14. Continue to scan Tickets if you are in Rapid Scan mode, or you'll have to click the Single Scan mode if you need to scan subsequent Tickets.

STEP #4 Checking-in Guests- RESERVATIONS
  1. Now that you have the app loaded and your credentials are good, you can start viewing upcoming Reservations, view Guest Lists and so forth.
  2. When first logging in, you'll be presented with a few options based on your account type; Reservations, Ticketed Events, Passport Programs and Sell Tickets.
  3. The Sell Tickets button is currently limited to iOS devices at this time.
  4. Select "Reservations"
  5. This will show you a list of your Reservations for "Today". You can click the date field at the top to select any other date.
  6. Clicking on the Reservation will provide you a new interface that provides more detailed information; Reservation Details, Notes, Add-Ons and the Check-in Feature.
    1. Clicking the Details button will provide you with a wealth of info that is similar to the Reservation Details screen in our backoffice.
    2. Clicking the Notes will display Guest Notes, Internal Notes and Concierge Notes (if available)
    3. Clicking the Add-Ons button will display any available Add-Ons associated with the Reservation (if available)
    4. Clicking the "Check-In" button will provide you with the ability to:
      1. Adjust Party Size (Note that if you adjust the Reservation here, it will NOT adjust any payments (charging or refunding).
      2. Check-in Party button will set the Reservation with the Checked-In status as is.
      3. Delayed Party will provide you with options as to the number of minutes you expect the Party to arrive late.
      4. "No Show" will immediately mark the Reservation with this status.
      5. Cancel Reservation will immediately mark the Reservation with this status. Do note that Cancelling a Reservation will NOT adjust any payments (charging or refunding).

 

STEP #5 Checking-in Guests- PASSPORT EVENTS

Passport Events are only available to Subscribers that have opted into one of the available Passport programs, either available from CellarPass or from one of our Affiliate DMO's. This button will NOT appear if you have refrained from participating.

If you are participating in a Passport program, but do NOT see the Passport Events button, we recommend you contact the Event Organizer immediately prior to contacting CellarPass Technical Support for assistance. This relationship must first be confirmed prior to elevating this issue to be a technical one.

 

  1. When first logging in, you'll be presented with a few options based on your account type; Ticketed Events, Passport Programs and Sell Tickets.
  2. Select "Passport Events" to check in Guests for one of the available Passport events you are participating in.
  3. This will show you a list of CURRENT EVENTS and UPCOMING EVENTS.
  4. Current Events are deemed as today's date falls between an Event's [[EventStartDate]] and [[EventEndDate]].
  5. Upcoming Events is deemed as an Event that has an EventStartDate that is in the future.
  6. Select from the "Current Events", the available Passport Events in which you would like to check-in Guests.
  7. Since Passport Events take place at multiple participating locations, you may be provided with a list of the Venue Check-in Locations if the system doesn't recognize your account immediately (which is a rare occurrence). Select the one that determines where the device will physically be during the check-in process which in most cases should be your primary location. 

 


Note that selecting the wrong Location could lead bad Check-in data and/or potentially communicating to the App user that the Ticket or Passport is not valid for the Event.
